HomeContentsListPro (“we,” “us,” or “our”) helps policyholders create and maintain detailed home inventory records for insurance and recovery purposes. This Privacy Policy explains how we collect, use, share, and safeguard personal information when you use the HomeContentsListPro web application (the “Service”). By accessing or using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.


1. Information We Collect

We collect the following categories of information when you create an account, interact with the Service, or communicate with us:

  1. Account & Identity Information
  • Name, email address, password (stored in hashed form), phone number, and profile details you choose to provide.
  • Two-factor authentication (2FA) status and related configuration data if you enable 2FA.
  • Audit logs showing account actions for security and compliance purposes.
  1. Property & Inventory Data
  • Home and property details, room names, room notes, items stored in each room, item descriptions, serial numbers, categories, purchase information, valuations, receipts, and photos you upload.
  • Import files you provide (e.g., CSV spreadsheets) and the resulting inventory data.
  • Reports and exports you configure or generate through the Service.
  1. Insurance & Subscription Information
  • Insurance provider name, agent contact details, policy numbers, coverage details, and notes you record.
  • Subscription plan selections, discount codes, Stripe customer IDs, Stripe subscription IDs, billing history, and trial status (collected via Stripe and stored for account management).
  1. Support & Communications
  • Messages you send to our support team, contact forms, feedback submissions, and any attachments you include.
  • Metadata associated with your communications (e.g., timestamps, support ticket history).
  1. Usage & Device Data
  • Log files and analytics data, including IP address, browser type, operating system, referral URLs, pages visited, and timestamps.
  • Application performance and error logs generated during your use of the Service.
  • Session data used to maintain secure logins and enforce usage limits.


2. How We Use Information

We use collected information to:

  • Provide, administer, and improve the Service, including inventory management, reporting, and import/export features.
  • Authenticate users, secure accounts, and prevent unauthorized access or misuse.
  • Process subscriptions, free trials, payments, and refunds via Stripe.
  • Send transactional emails, account alerts, onboarding guidance, and support responses.
  • Generate analytics that help us understand application performance, plan capacity, and prioritize new features.
  • Comply with legal obligations, enforce our Terms of Service, and respond to lawful requests.
  • Maintain backups, perform maintenance, and safeguard the integrity of user data.

We do not sell personal information to third parties.

  • Hosting providers, storage vendors, and backup services that power the application.
  • Email delivery services used for transactional messages and support responses.
  • Analytics tools (e.g., Plausible) configured in privacy-friendly ways to measure usage without tracking individuals.
  1. Payment Processor
  • Stripe, Inc. processes subscription payments and securely stores billing details. We receive subscription status, plan information, and limited metadata from Stripe, but do not store or access full payment card numbers.
  1. Professional Advisors & Legal Authorities
  • Lawyers, accountants, auditors, or regulators when required to comply with applicable laws or defend our legal rights.

We require service providers to use shared information only to perform services on our behalf and to safeguard it appropriately.


5. Data Retention

  • Account Data: Stored while your account is active. If you delete your account or request deletion, we will anonymize or delete personal data within 30 days unless retention is required for legal obligations or backup integrity.
  • Inventory & File Uploads: Retained for as long as you maintain them in the Service. Deleted items may persist in secure backups for up to 30 days before being fully purged.
  • Audit Logs & Security Records: Retained for a minimum of 12 months to support incident investigations and compliance.
  • Billing Records: Kept for at least 7 years to satisfy tax and accounting regulations.


6. Your Rights & Choices

Depending on your location, you may have the right to:

  • Access, correct, or delete your personal information.
  • Export your data in a machine-readable format.
  • Object to or restrict our processing of your data.
  • Withdraw consent when processing is based on consent.
  • Lodge a complaint with your local data protection authority.

7. Security Measures

We use administrative, technical, and physical safeguards to protect personal information:

  • Encrypted connections (HTTPS) for data in transit.
  • Password hashing, optional two-factor authentication, and session management.
  • Access controls and audit logs for administrator activities.
  • Regular backups, vulnerability patching, and monitored logging.

Despite our efforts, no system can guarantee absolute security. Please keep your password confidential and enable two-factor authentication for added protection.


8. International Data Transfers

HomeContentsListPro operates from the United States. If you access the Service from another country, your information will be transferred to and stored in the United States. We implement appropriate safeguards for international transfers, such as standard contractual clauses when required.


9. Children’s Privacy

The Service is not directed to children under 16. We do not knowingly collect personal information from children under 16. If you believe we have collected such information, contact us immediately so we can delete it.


10. Changes to This Policy

We may update this Privacy Policy to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will notify you via email or an in-app notice and update the “Effective Date” at the top. Continued use of the Service after the updated policy becomes effective constitutes acceptance.
